Wellington Dukes – Game Day Coordinator (Volunteer)

Position Overview

The Wellington Dukes are seeking an organized, enthusiastic, and community-minded Game Day Coordinator to help deliver an outstanding experience for our players, fans, sponsors, and volunteers on home game days.

The Game Day Coordinator plays a key role in ensuring game day operations run smoothly by overseeing volunteers, coordinating fan engagement initiatives, managing ticket operations, and supporting community involvement. This is an excellent opportunity for someone who enjoys sports, event management, and giving back to their local community.

This is a volunteer position.

Key Responsibilities

Game Day Operations

  • Coordinate all game day volunteers and ensure responsibilities are assigned prior to puck drop.
  • Serve as the primary point of contact for game day staff and volunteers.
  • Assist with pre-game setup and post-game teardown.
  • Ensure all game day areas are prepared and operating efficiently before fans arrive.
  • Troubleshoot operational issues that arise throughout the event.

Ticket Booth Operations

  • Oversee ticket booth volunteers and game day ticket sales.
  • Ensure ticket booths are properly set up with required materials and cash floats (if applicable).
  • Coordinate season ticket holder entry and game day admissions.
  • Assist with attendance tracking and ticket reconciliation following games.

Community & Charity Initiatives

  • Coordinate charity fundraisers, 50/50 draws, community nights, and special events.
  • Act as the liaison between the organization and community groups attending games.
  • Organize ceremonial puck drops, intermission activities, and special guest appearances.
  • Help ensure community partners and charitable organizations receive an excellent game day experience.

Fan Experience

  • Help create a welcoming and enjoyable atmosphere for fans.
  • Coordinate promotions, contests, and intermission entertainment.
  • Ensure sponsors receive agreed-upon game day recognition.
  • Work closely with the media and marketing team to support in-game promotions and announcements.

Volunteer Management

  • Recruit, schedule, and communicate with game day volunteers.
  • Provide orientation and guidance for new volunteers.
  • Foster a positive and enjoyable volunteer environment.
  • Recognize and appreciate volunteer contributions throughout the season.

Organizational Support

  • Collaborate with the Head Coach/General Manager and team staff regarding game day logistics.
  • Communicate with arena staff to ensure operational needs are met.
  • Assist with special events hosted by the organization throughout the season.
  • Help identify opportunities to continually improve the fan and volunteer experience.

Qualifications

  • Strong organizational and communication skills.
  • Friendly, positive, and customer-service oriented.
  • Ability to lead and coordinate volunteers.
  • Comfortable working in a fast-paced environment.
  • Able to solve problems and make decisions under pressure.
  • Passion for hockey and community involvement is considered an asset.
  • Previous experience in event management, customer service, sports, or volunteer coordination is an asset but not required.

Time Commitment

  • Availability for Wellington Dukes home games during the Ontario Junior Hockey League season.
  • Attendance at occasional planning meetings and special team events.
  • Approximately 3–5 hours per home game, including pre-game setup and post-game wrap-up.
